Administrative Asst United Way Clear Lake
Provides administrative front-end support to individuals seeking information, resources and donations as a result of Hurricane Harvey. Provides initial telephone and walk-in customer service to individuals seeking assistance and social services. Maintains updated directory of local disaster resources and referrals. Assists with donation coordination, dissemination of disaster supplies, any other resources as needed. Provides data entry and clerical duties associated with disaster relief efforts. And any other duties as assigned. Position requires excellent customer service and organizational skills. Bilingual (Spanish-speaking) preferred in order to communicate with others. PRINCIPAL DUTIES AND RESPONSIBILITIES: 60% Provides information, resources and referrals to disaster victims through telephone and/or center walk-ins. Handles any on-site distribution of donations and/or supplies for relief efforts. Maintains clerical statistical data or documentation of referrals and/or donations provided. Updates disaster relief service directory listing and verifies them for accuracy. 30% Provides support to help staff the front desk. Provides receptionist duties consisting of answering the telephone calls, greeting visitors, making referrals to appropriate agencies. Receives and sorts daily the mail/deliveries/couriers. Provides support to the Conference Room Center usage, maintenance and set-up of meetings. Acts as a backup of Information & Referral activities. 10% Other activities in support of United Way, Community Impact, Disaster Relief Efforts QUALIFICATIONS Minimum Education: High School graduate or equivalent. Associate's degree required. Minimum Skills and Experience: One year of direct excellent customer services skills required. Proficient written and oral communication skills. Effectively adapts to changing priorities in a fast-paced environment. Displays technological proficiency in use of automated office systems, Microsoft Word, Excel and Outlook tasks. Self-motivated; reliable in meeting schedules and deadlines. Fosters workable, effective and productive professional relationships with other staff, administration, community agencies and organizations. Bilingual in Spanish is preferred, not required. Certification/Licenses: N/A Equipment Used: Personal computer and software packages - Windows, Outlook, Word, Excel, PowerPoint, copier, etc. Working Conditions: Work is carried out in a controlled, agreeable environment as generally represented by normal office conditions. Contacts: Requires frequent contact by telephone, written and in person communication with the public, community, local non-profit organizations. Communications will involve reasonable tact, discretion, self-expression and a working knowledge of the organization. Physical Requirements: Good vision and good hearing acuity (with glasses and hearing aids if necessary). Skill in use of computer screens and manual dexterity and skill in use of keyboard. Physical exertion includes bending, pushing, standing, carrying donations and walking. Must be able to move or lift approximately 30 pounds occasionally. Mental and Aptitude Requirements: Job requires ability to talk, see and hear; a high level analytical, conceptual, planning, problem-solving and decision-making skills.
